Outsourced Finance & Accounting

Your whole finance function, not just your bookkeeping.

Bookkeeping records what already happened. We also run what happens in between: paying suppliers with the right tax withheld, checking stock and cost of goods sold (COGS), calculating payroll and preparing your monthly tax. Then we close the month and report it on the date we agree with you.

Which parts you need depends on your plan. See Plans & Pricing on our homepage.

How Each Part Runs

One team, five routines

  1. Bills arrive

Suppliers send bills to a dedicated inbox or folder

  2. We check each bill

Tax invoice (faktur pajak), NPWP, withholding tax and duplicates

  3. You approve

    In a weekly payment cycle

  4. We prepare the transfer

We set it up in your bank portal; you approve and release it

  5. Paperwork closed

Withholding slips (bukti potong) sent to suppliers

For More Complex Setups

When bills, sites and assets multiply

A multi-location F&B group opening new sites gets supplier bills by email every day. We built a review step between the inbox and Xero, so every bill is read, checked and approved before it reaches the books.

  1. Bills arrive by email

Supplier bills land in a shared inbox

  2. Lines are read automatically

Vendor, items, amounts and tax pulled from each bill

  3. Rules fill the gaps

Account and tax type from the vendor’s history

  4. A reviewer checks it

Anything that doesn’t add up comes back for review

  5. Draft bill in Xero

Never approved or paid automatically; duplicates blocked

  6. New-site costs recorded as assets

Held until the site opens, then booked as fixed assets

Before Any Report Reaches You

Reports that look finished but don’t add up

A profit and loss can look perfectly fine and still be wrong: an account left out, cash that doesn’t tie to the bank, customer balances that don’t match your books. So every month runs through these checks before we send anything.

The checks

  • The balance sheet balances
  • Cash in the cash flow statement equals cash on the balance sheet
  • Net profit in the profit and loss equals net profit in the cash flow statement
  • Bank balances in your books equal your bank statements
  • Customer balances add up to receivables in your books
  • Every account is assigned to a report line. Nothing is dropped or guessed.

Two people on every set of books

  • Prepared by an associate, reviewed by a senior
  • A 40-point checklist every month
  • Monthly tax equalisation: tax in your books checked against what was filed
  • Closed months stay closed: late documents are booked in the current month

From Recent Work

One report set instead of 22 spreadsheets

A multi-branch group was building its shareholder reports by pasting each branch’s Xero figures into 22 separate spreadsheets. The same account was spelled differently from branch to branch, and new accounts quietly dropped out of the totals. We mapped every variation onto one standard chart of accounts, and each report is now checked against Xero’s own totals before it goes out.

Common Questions

Questions we get asked

What is outsourced finance and accounting?

An outside team that runs your finance function for you: recording transactions, paying vendors, payroll, tax and monthly reporting. You keep the approvals; we do the work and the checking.

How is this different from a bookkeeping service?

Bookkeeping records transactions after they happen. We also handle the steps before and around them: checking bills and tax before payment, preparing transfers for your approval, reconciling stock and cost of goods, and calculating payroll.

When do I get my reports?

On a date we agree with you at the start, earlier or later depending on what you need. We need your complete documents at least 5 working days before that date.

Do you ever approve or release payments?

No. We check bills and set up transfers in your bank for your approval. Approval and release stay with your own signatories.

What do you need from us?

Bank statements, sales invoices, bills and receipts (through a cloud folder or a dedicated email address); stock counts, if you hold inventory; and access to your accounting software and CoreTax.

Our books are behind. Can you catch up?

Yes. We bring your books and tax up to date from an agreed cut-off date before the monthly work starts. Moving your full history from another system is scoped separately.

How much does it cost?

Plans are priced per entity, per month: Bookkeeping at Rp 5,000,000, Outsourced Finance from Rp 8,000,000, which adds the weekly payment cycle and invoice processing, and Integrated Operations from Rp 10,000,000, which adds POS and inventory integration and consolidated reporting. Software subscriptions are excluded. See Plans & Pricing on our homepage.

Which systems do you work with?

Accounting systems including Xero, Jurnal.ID, Zoho Books and Odoo, CoreTax for tax, and POS systems such as Moka, DealPOS and Mille. If you are still on spreadsheets, we can set up a new system as part of onboarding.
