Bank, POS & Payment Reconciliation
We check that every rupiah of your sales actually reached your bank.
Money from card, QRIS and online payments arrives a day or two later, minus fees, mixed in with everything else. We match it all back to your sales and invoices, record what’s explained, and only bring you the gaps we can’t explain.
What reconciliation means, in one picture
What you sold
Your POS, sales invoices and online orders
What reached the bank
Deposits from cash, card, QRIS and transfers
What’s in your books
Xero, Jurnal.ID, Zoho Books or Odoo
We check both links every month. When they don’t match, we find out why.
Example
A single day, matched
Card sales on Monday
From your POS
Rp 10,247,500
Card deposit on Tuesday
From your bank statement
Rp 10,063,045
Difference: the bank’s card fee
We record it as a fee
Rp 184,455
Matched. Nothing for you to do.
Illustrative amounts. Only differences we can’t explain come to you.
The Most Common Problem
Your POS says one thing, the bank says another
The payment type recorded at the cashier doesn’t always match how the customer actually paid, and some payments reach the bank days later. Matching one payment type at a time then shows gaps that aren’t real. So we run two checks first.
1
Check the day’s total first
We compare the day’s total sales across every payment type with the total that reached the bank. If the totals agree, nothing is missing: a payment was recorded under the wrong type, and we correct the label.
| POS says | Bank shows | |
|---|---|---|
| Card | Rp 6,182,000 | Rp 5,094,500 |
| QRIS | Rp 4,065,500 | Rp 5,153,000 |
| Total | Rp 10,247,500 | Rp 10,247,500 |
Totals agree. Rp 1,087,500 recorded as card was really paid by QRIS.
2
Look across several days for late payments
A deposit that doesn’t match its own day is compared with the sales from the days around it before anything is flagged. A late payment gets matched to the right day instead of showing up as missing money.
- MonQRIS sale of Rp 2,436,750
- TueNothing arrives
- WedRp 2,436,750 arrives
Matched to Monday, not flagged as missing.
Illustrative amounts. Bank fees left out to keep it simple.
How We Set It Up
We learn from your past six months before automating anything
Every business pays and gets paid in its own patterns. So before we automate a client’s matching, we study the books already done by hand and turn those patterns into rules.
Look back six months
We went through six months of one client’s completed books, line by line.
Turn patterns into rules
That produced 64 matching rules: which bank line belongs to which customer, account and entry.
Approve before use
No rule records anything until it has been reviewed and approved.
Test on a month already closed
When we ran the rules on a month already done by hand, 13 of 19 days matched exactly. Everything else went to a reviewer instead of being guessed.
From a payment-platform client, 2026.
What We Reconcile
The detail, for your finance team
POS, card, QRIS and online payments
We match your POS report to the money that reached the bank, per day and per payment type, and trace card and online payments back to the sale and invoice they belong to.
- Per day and per payment type: cash, card, QRIS, transfer
- Expected arrival days set per bank and payment type
- Card payments matched one by one from the bank’s card report
- Card and payment gateway fees (MDR) identified, not left as unexplained differences
- Multiple outlets: each outlet’s daily sales tied to its own sales invoice
Customer payments to open invoices
We match incoming transfers to your unpaid invoices, and invoices back to the bank, so you always know who still owes you.
- Partial payments applied to the oldest invoice first
- Payer names remembered, so the same customer matches faster next month
- Payments with no matching invoice listed and followed up with you
- Invoices settled without a transfer, such as offsets and deductions, recorded properly
Matching without access to your system
When we can’t connect to your accounting system directly, we prepare the bank lines in our own app first and give each one a reference to the right invoice or payment. Your system’s own matching then confirms it in one click. Your original bank statement is never changed; we work on a separate import copy.

Common Questions
Reconciliation questions we get asked
What is bank reconciliation?
Checking that the money in your bank matches what your sales and invoices say you should have received, and explaining every difference, such as bank fees, late deposits or customers who paid the wrong amount.
What does AKRUA reconcile?
AKRUA reconciles three things for Indonesian businesses: POS sales against bank deposits; card, QRIS and payment gateway payments against the sales they belong to; and customer transfers against open invoices. Lines that match are prepared as journal entries for your accounting system. Lines that don’t are held, reviewed by a consultant, and followed up with you.
Which systems do you reconcile?
Accounting systems we work in include Xero, Jurnal.ID, Zoho Books and Odoo. POS and payment systems include Moka, DealPOS, Mille and Xendit, and banks include BCA, BRI, Mandiri, CIMB Niaga and Sinarmas. The matching works from the reports your systems already export, so ask us if yours isn’t listed.
Do you need login access to our bank?
Not for reconciliation. We work from the statements and reports you export. If we also run supplier payments for you, that access is set up separately, and you keep approval and release rights.
Do you change our bank statements?
No. Your original statement stays exactly as the bank issued it. When we add references to help your system match, we do it on a separate import copy.
What if our POS records the wrong payment type?
We check the day’s total first. If the total across all payment types agrees with what reached the bank, the money is all there and only the labels are wrong, so we correct them. Payments that arrive days later are compared with the days around them before anything is flagged.
What happens to lines that don’t match?
They are held and listed, never forced or deleted. A consultant reviews each one and follows up with you on anything that needs your answer, such as a transfer with no invoice.
How often do you reconcile?
Monthly as standard. Some clients have us reconcile daily or twice a week, depending on their volume.
Is reconciliation part of a plan or a separate service?
Bank reconciliation is part of our monthly bookkeeping. Matching POS and other business systems is part of our Integrated Operations plan. See Plans & Pricing on our homepage for details.
